What is the Eisenhower Matrix?

The Eisenhower Matrix, also referred to as the Eisenhower Box or the Urgent-Important Principle, was established by President Dwight D. Eisenhower as a means of improving productivity and effectiveness. This straightforward grid separates tasks into four categories based on two criteria:

1) Urgency – whether something demands immediate attention

2) Importance – whether something aligns with your goals and priorities  

By considering these two factors, you can classify tasks into the following groups:

  • Urgent + Important: Tasks that require immediate attention and directly align with your objectives. These are top priority.  
  • Important + Not Urgent: Tasks that help you achieve your goals but don’t have a pressing deadline. Schedule time for these to avoid escalation.
  • Urgent + Not Important: Tasks that demand attention despite not aligning with key priorities. Learn to delegate or eliminate these timewasters.  
  • Not Important + Not Urgent: Tasks that can be eliminated or postponed with little consequence. Be ruthless in minimizing these activities.

How to Create an Eisenhower Matrix

To start leveraging this approach, begin by creating your own Eisenhower Matrix template. Here’s how:  

  1. Draw a 2×2 grid on paper, whiteboard, or using spreadsheet/document software. 
  2. Label the four quadrants as Urgent/Important, Important/Not Urgent, Urgent/Not Important, and Not Important/Not Urgent.  
  3. Populate each quadrant with your existing commitments, responsibilities, and goals. Be honest regarding true urgency and importance.  
  4. Sort tasks into the appropriate categories based on the Eisenhower criteria.
  5. Schedule blocks of time on your calendar to focus on each quadrant, prioritizing the Urgent/Important group.  
  6. Repeat this assessment regularly as priorities shift. Refine where you allocate time/attention.

  • Tag Digital Tasks: Applying Eisenhower labels within task management apps connects the strategy across platforms/devices. 
  • Review Frequently: Assess Eisenhower placements regularly to adapt appropriately over time. Monthly, weekly, even daily check-ins may be required.
